Job Description:
We are seeking a meticulous and detail-oriented Document Controller to join our team. As a Document Controller, you will be responsible for managing and organizing documents, records, and files to support the efficient operation of our organization.
Responsibilities:
- Develop and implement document control procedures and workflows to ensure consistent and efficient document management practices.
- Maintain an organized system for document storage, retrieval, and distribution, both in physical and electronic formats.
- Review incoming documents for accuracy, completeness, and compliance with established standards and procedures.
- Assign document numbers, codes, and metadata for proper identification and tracking.
- Monitor document changes, revisions, and updates, and ensure timely distribution of updated documents to relevant stakeholders.
- Coordinate document review and approval processes, including tracking feedback and obtaining necessary approvals.
- Assist in the preparation and formatting of documents, reports, and presentations as needed.
- Train staff members on document control procedures and provide ongoing support and guidance.
- Ensure compliance with document retention policies and regulatory requirements.
- Perform regular audits and quality checks to verify the accuracy and completeness of document records.
Requirements:
- Bachelor’s degree in Business Administration, Information Management, or a related field.
- Previous experience in document control or records management.
- Proficiency in document management software and systems.
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy.
- Strong communication and interpersonal abilities.
- Familiarity with document control standards and best practices.
