Job Description:

We are seeking a meticulous and detail-oriented Document Controller to join our team. As a Document Controller, you will be responsible for managing and organizing documents, records, and files to support the efficient operation of our organization.

Responsibilities:

  • Develop and implement document control procedures and workflows to ensure consistent and efficient document management practices.
  • Maintain an organized system for document storage, retrieval, and distribution, both in physical and electronic formats.
  • Review incoming documents for accuracy, completeness, and compliance with established standards and procedures.
  • Assign document numbers, codes, and metadata for proper identification and tracking.
  • Monitor document changes, revisions, and updates, and ensure timely distribution of updated documents to relevant stakeholders.
  • Coordinate document review and approval processes, including tracking feedback and obtaining necessary approvals.
  • Assist in the preparation and formatting of documents, reports, and presentations as needed.
  • Train staff members on document control procedures and provide ongoing support and guidance.
  • Ensure compliance with document retention policies and regulatory requirements.
  • Perform regular audits and quality checks to verify the accuracy and completeness of document records.

Requirements:

  • Bachelor’s degree in Business Administration, Information Management, or a related field.
  • Previous experience in document control or records management.
  • Proficiency in document management software and systems.
  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy.
  • Strong communication and interpersonal abilities.
  • Familiarity with document control standards and best practices.
